Payroll
Run payroll, file RTI with HMRC, and manage employees and pay runs.
The Payroll app runs UK PAYE payroll — employees, pay schedules, payslips — and handles the HMRC side of it: Real Time Information (RTI) submissions on every pay run, and CIS300 returns if your business pays construction-industry subcontractors.
Key concepts
- Employees and pay schedules — each employee sits on a pay schedule (e.g. weekly or monthly); a pay run processes everyone due to be paid in that period together.
- PAYE, National Insurance, and student loans — pay calculations apply UK tax codes, employee/employer National Insurance, and student loan deductions per employee.
- RTI submissions — HMRC requires two submission types per pay run: an FPS (Full Payment Submission) reporting what was actually paid, and periodically an EPS (Employer Payment Summary) for adjustments like statutory pay recovery. These go to HMRC through ac-co.ai's HMRC integration rather than a separate government gateway login.
- CIS300 — if your business engages CIS subcontractors, monthly CIS300 contractor returns are filed the same way.
How do I…
…add an employee?
Add them from the Employees area with their personal details, tax code, and pay schedule — the details HMRC needs to identify them on your RTI submissions.
…run payroll for a pay period?
Start a pay run for the period; it calculates pay, PAYE, National Insurance, and any student loan deductions for every employee on that schedule, ready for your review before you finalize it.
…see or send payslips?
Once a pay run is finalized, each employee's payslip is generated and available from that pay run.
…file RTI with HMRC?
Finalizing a pay run submits the corresponding FPS to HMRC automatically; EPS submissions (for adjustments, not tied to a specific pay run) are handled from the RTI/filings area.
…file a CIS300 return?
If you have CIS subcontractors, the monthly CIS300 return is prepared and filed from the CIS area, covering payments and deductions for the period.
…get help with a payroll question?
Payroll rules change frequently (tax codes, thresholds, statutory pay rates); if something looks off for a specific employee, your accountant or payroll administrator can review the pay run details before it's finalized and submitted.
